The OpenClassrooms team will send you an email invitation to join the platform. This invitation will grant you premium and administrator status:
- This link will direct you to a page where you can:
- Log in if you already have an account
- Create your account if you do not have one yet
- Your initials will appear at the top right of your screen once you are logged in. By clicking on the downward arrow next to your initials, a dropdown menu will show your organization’s name.
- If you click on it, you will be taken to your administrator area.
Preparing for Your Launch
The administrator area is composed of two main tabs: Analytics and Administration.
- In the first tab, you will be able to track your learners’ statistics and the courses they have taken.
- In the second tab, you will be able to add or remove members, group members into teams, send them messages, and suggest content.
Preparing Your Teams
The first step of the launch is to think about how you want to group your learners on the OpenClassrooms platform. You have the option to group learners into "teams."
- These teams are associated with a “Team Page” which allows you to communicate a message on the homepage and suggest courses to a group of people who have the same profile or meet the same criteria: departments, teams, geographic areas, areas of interest, seniority levels, or even by project.
- Creating a team will also allow you to isolate your data according to these criteria and potentially compare them.
Adding Members
Now that your teams are ready, you need to invite learners to join the OpenClassrooms platform and link them to your organization so they can obtain premium status.
- You will need to assign them to the appropriate teams and assign the correct roles. Note that the roles of administrators and supervisors are not cumulative.
- There are 4 roles on the platform:
- Administrator: manages members, roles, invitations, and teams.
- Manager: has access to the organization’s and teams’ Analytics.
- Team Supervisor: can add or remove a member from the organization to the team, has access to the team’s Analytics.
- Member: has premium status and is attached to a team to receive training, can download their course certificates but has no visibility on other members’ activities nor any managerial function.
To invite learners to activate their OpenClassrooms license, click on “invite members” then copy/paste the learners’ email addresses, selecting the role you want to assign them and the team you want to add them to.
- You can find more details in our dedicated article: How to Invite Learners to Join My Organization?
- Following these invitations, learners will receive an email invitation to join the platform and will need to either log in or create their accounts.
- We strongly advise sending a communication email in parallel with these invitations to prevent your colleagues from considering our emails as spam. An email example can be found in the activation guide on page 9.
After Your Launch
To ensure your project is successful, we strongly recommend implementing some best practices throughout the year.
- The goal is to spark curiosity among your employees and make training an automatic habit.
Involving Your Managers
It is very important to involve managers in the project to create a sustainable training dynamic.
- We recommend introducing them to the platform and the course catalog.
- They could set aside dedicated training time during their meetings with their teams. For example, recommend courses individually to each employee and set specific goals for each.
- You can also assign them the role of team supervisor. This will allow them to configure their own “team pages” and suggest content independently.
- Note: Find more advice on involving your managers in the activation guide, chapter: Managers: Link Training to Your Strategic Goals.
Communicating and Engaging Your Employees
Communication is the second most important element to successfully completing this project.
- We have created a series of documents to help you successfully communicate with your employees.
- Our communication pack includes:
- Flyers
- Posters
- Newsletter template
- Banner for website or social media
- Internal teaser video
Monitoring the Analytics
We recommend regularly reviewing the statistics.
- Ideally, set a time slot in your agendas and check some key information you identified when launching the project.
- The main question to ask yourself is “what data am I interested in, the data I will track throughout the year?”
- To study our analytics in more detail, we invite you to review the articles in our dedicated section.
